November 2016 TBID Minutes

TBID Committee of Red Lodge Meeting Minutes NOV 8, 2016

Meeting called to order at 10:05 AM. Attendees: T LaCombe, J Nelson, T Weamer, S Weamer,

Minutes: No quorum to approve October minutes.

Treasurer’s Report – November 2016 expenditures were $$17952.42 including $3682.09 RLACC (repayment), $4979.00 Creative Design Works (brochure publication), $9085.86 Certified Folder (brochure distribution) and TripAdvisor $205.47. All A/P are now up to date. 3rd Qrtr collections of $20756.00 (one lodging partner has not paid yet).
ITEMS OF DISCUSSION:
Governing Body: Tim will contact the State regarding rules and regulations for changing our governing body from the City of Red Lodge to the Convention and Visitor’s Bureau
Budget: A review was done on the current budget and all anticipated bills for the current fiscal year. Because of lower collections, advertising dollars budgeted will need to be cut back for RLM, the Billings Gazette and TripAdvisor. We are still in line for projected sponsorship projects.

Next Meeting: The next TBID meeting will be held on December 13, 2016 at 10 AM at the Comfort Inn. Agenda items will be: summarizing the budget and change submittals to the City as necessary, Ski-Joring sponsorship and Chamber update.

October 2016 TBID Minutes

Treasurer’s Report – Expenditures of $1234.46 including $800.00 for Christmas Stroll, $222.04 for Pony Express (brochure distribution) and TripAdvisor $212.32

OLD BUSINESS:
RLM: Jeff Carroll reported on what their advertising campaigns are for this season and where they feel we can get the most out of our coop advertising dollars. They are presently working in a Programatic
Campaign (more geographic and targeted and targeted audience) and the Google Ad Words Campaign which is most prevalent for their advance ticket sales. They are using Madden Media again, encouraging them to utilize RLM ad words for emails, etc for their “call to action” advertising (book now). Google Ad Words capitalize on interests shown for Montana, skiing, lodging, etc… There is a lower conversion rate, but a larger reach. Google Ad Words do not reflect in social media (ie: Facebook), so RLM will run a paid campaign with them. This would be a beneficial coop advertising campaign with TBID…..there is a higher conversion rate, although a lower reach of customers. The levels of inspiration are State – Region – RLM – TBID (TBID is on the call to action level). RLM needs a coop advertising commitment as soon as possible.
RLM is utilizing LIFTOPIA for advance discount tickets this year – rlm.com/tickets. Lodging discount ticket prices will be ready by the end of this week.
Chamber of Commerce/T Weamer: The City of Red Lodge and the Red Lodge Community completed the grant application for Wayfinding” and Red Lodge was awarded a grant in the amount of $18000.00 ($3000.00 more than requested in part for the commitment of matching funds) and the second highest grant awarded. Good parking and signage is necessary in our community. The next step is putting together a diverse committee (including a representative of the Branding Committee), and possibly putting out a RFP so that the process is completely open. This information will be presented to RLMLA – information is imperative on a total cooperative effort. J Nelson will take pictures of the Whitefish signage for ideas. Tim & Sherry attended the Market Montana conference in Missoula in September. The main subject of discussion was agriculture. A remodel of the Billings Airport in in the final planning stages. TAC Conference: Tim met with the new state advertising agency from Wisconsin. One of their goals is to have a system in place to track advertising results.
TBID Board: John Gilligan is interested on again serving on the board, although he does have a conflict with the meeting dates. J Nelson will speak with The Pollard regarding their participation and possibility of their representation on the Board.

NEW BUSINESS:
Yellowstone County Lodging Assoc: Continued membership with them will be discussed during the November meeting after budget review. The ideas of possibility trade memberships with them, or having the RLMLA become the affiliate member were discussed.
November Meeting: The focus of the November TBID meeting will be budget review and planning for future expenditures. All input will be greatly appreciated.

ANNOUNCEMENTS:
Old Roosevelt Open House: The three-day open house had a great turnout and many new ideas came to light. Meeting space is being incorporated into the planning.
Roman Theater: Mike Booth is the new interim manager of the theater. He has started a Facebook page for the theater and is updating almost daily.
RLMLA Meeting: Encourage everyone to attend the next meeting. The guest speaker will be Dax Scheiffer with Voices of Montana. Out of every $100.00 in bed tax collections, less than 2% comes back to Red Lodge. Dax helps assure that we do not lose any of that, and is our “go to” person in how to possibly increase the return. Discussion was held regarding TBID sponsoring a RLMLA meeting to help increase attendance.
Next Meeting: The next TBID meeting will be held on November 8, 2016 at 10 AM at the Comfort Inn. This meeting will be dedicated to budget review.

OLD BUSINESS:

            Chamber of Commerce:  Tim & Sherry are out of town – will be attending the Market Montana Conference in Missoula on Sept 11 & 12, 2016.

            TBID Board:  An email was sent to John Gilligan regarding his interest on serving on the TBID board.  Response pending

RLM: Jeff Carroll has been working on the digital opportunities for TBID.  Hopefully he will be presenting at the October meeting.

 

NEW BUSINESS:

Songwriter’s Festival/Mike Booth: Estimated audience was 450 – 600 people over the three days, which included seven shows.  There was great enthusiasm and they were able to give back over $2000.00 to community non-profits. The 2nd Annual Songwriter’s Festival is tentatively scheduled for June 22 – June 24, 2016.  The committee is courting “Hall of Fame” writers and looking for a possible larger venue to keep the event in the downtown area.  They are also looking at the possibility of having the event closer to the Red Lodge Music Festival.  Jenn will keep the conversation open with the Music Festival organizers.

Old Roosevelt:   A design workshop will be held on Oct. 7 – 9 at the Community Foundation with two preliminary designs being shown which will include a commercial kitchen. The focus thus far has been on performing arts, however they need to look at long term sustainability which includes conference/meeting rooms, monthly retail rentals, etc.  The presence of meeting/conference is a definite plus for the lodging industry allowing us to court meetings during slower seasons.  Robin Hoover with Yellowstone Country would be a great information source for area meeting needs.

Christmas Stroll/K Robson:  Kathy spoke regarding the Christmas Stroll application for funding for the 2016 Stroll (Dec. 2 & 3, 2016).  They rely on TBID dollars to ensure their success and reports have shown that the Stroll does benefit the lodging partners.  Advertising is the key, especially in Billings.  Our sponsorship last year enabled them to expand advertising into the Sheridan area.  They are planning on Billings, Cody and Sheridan advertising again this year and are asking for $800.00 in funding.  G Gallagher moved to sponsor $800.00 for the 2016 Christmas Stroll – seconded by P Hardiman.  Motion carried.

Budgeting:  Because quarterly TBID collections are not due until October 20, revisiting the current budget and making any adjustments will be the main emphasis of our November meeting (not October).

OLD BUSINESS:

            Songwriter’s Festival:  Mike Booth would like to give an update in person – possibly September meeting – is interested in piggy-backing event next year with another scheduled event.  Dates, etc….will be determined then.

Chamber of Commerce:  The Hi-Pointers Club (around 250 participants) had a great time in Red Lodge.  Nitty Gritty Race (9/18/16) is trying to tie in with the bike race and a Blue Grass Concert to make it the “Nitty Gritty Weekend”.  The downtown festival in Livingston (Livingston HOOT) was great.  They close off Main Street, have a free concert (paid for by local businesses) and family based activities.  The Wing Ding will be in Billings starting August 31st and they are expecting over 10,000 attendees.  The Chamber will have to booth there to tout Red Lodge.

            TBID Board:  An email was sent to John Gilligan regarding his interest on serving on the TBID board.

 

NEW BUSINESS:

Voices of Tourism: RLMLA and the Chamber, along with possibly a rep from the City will meet with Dax.  He is our resource in helping to extract more money for marketing from the bed tax.

RLM – Jeff Carroll:  Will invite Jeff to the October meeting to discuss advertising partnerships again.              USA Today:  The advertising opportunities are beyond our budget for their “Great Escape to the Rockies” segment.  Will forward information to Yellowstone Country.

WAYFINDING:  The Main Street Program is looking for matching funds to help with “wayfinding” signage for points of interest, trails, etc.  T LaCombe moved to fund the program $500.00 – seconded by G Gallagher.  Motion carried.  We will need an invoice from the program to submit for payment.

 

ANNOUNCEMENTS:

October Meeting: The meeting in October (10/11/16) will be mainly dedicated to an overview of our current budget.

July 2016 TBID Minutes

TBID Committee of Red Lodge Meeting Minutes JULY 12 2016

Meeting called to order at 10:12 AM. Attendees: T Weamer, T LaCombe, S Weamer, P Hardimann, J Nelson, M Brown, G Gallagher, T Dean, P Davis

Minutes: Motion made by T Dean to approve June 2016 minutes – second T LaCombe – motion passed.

Treasurer’s Report – Disbursements of $327.99 for TripAdvisor – No deposits

OLD BUSINESS:
TBID Board Member: Still in need of one more Board member. Jenn will approach John Gilligan to see if he is again interested.
Perry’s Campground: Although they were very receptive when first approached to join the TBID, they have decided not to participate at this point. The Board will keep the lines of communication open with them.
Budget Review and Submission: The proposed budget has been sent to the City for final approval. The budget, along with a breakdown of line items, has been sent to all TBID shareholders in following through with complete transparency.
Review of Sponsored Events: Mike will give a recap of the Songwriters Festival at our August meeting.

NEW BUSINESS:
Fun Run/Patty Davis: The Fun Run this year is Labor Day weekend. Past participation has been 900 plus and over 40% of runners are from out of town. The committee has previously worked with local businesses for incentives to shop, etc…. They are looking for marketing dollars possibly for 2017. Patty asked that we email an application for funding for 2017 to Patty. patty.davis.fpof@statefarm.com.
Mayoral Candidates for appointment: A new mayor will be appointed at the City Council meeting this evening. It is agreed that no matter the outcome, we need to be always positive regarding our community and the inner workings.
Beartooth Highway Brochure: More brochures are needed. We will need to add Two Bears Inn and delete Rocky Fork Inn for the reprinting. A motion was made by T LaCombe and seconded by T Dean to approve the reprinting with the appropriate changes. Motion carried. Tim will submit changes by this weekend.
TBID Advertising: T Weamer reported that Red Lodge is not thought of as necessarily a winter destination. We need to find other ways to promote Red Lodge rather than just for skiing. Need to embrace other winter activities as well. Food for thought: HOW DO WE BECOME A WINTER DESTINATION?

ANNOUNCEMENTS:
Chamber: The Chamber has a meeting and Fam Tour with Donny Sexton – the photographer that is producing the sunrise and sunset photo app. Rodeo ticket sales were up considerably over last year.
Next Meeting: The next TBID meeting will be held on August 6, 2016 at 10 AM at the Comfort Inn.
